Event Coordinator

The Events Coordinator is responsible for leading the planning, coordination, and execution of Texas A&M Foundation scholarship and donor events while supporting a broad portfolio of Foundation-hosted events. This role works closely with the Events team and internal Foundation partners to deliver high-quality, donor-centric experiences that advance donor engagement, stewardship, and the mission of the Texas A&M Foundation. The coordinator serves as a key point of contact for stakeholders and plays a critical role in ensuring events are professionally executed and aligned with Foundation standards.

What You’ll Do

Role

As the Events Coordinator, you will support the successful planning and execution of scholarship, donor, and Foundation events while providing exceptional service to internal and external stakeholders. In this role, you will:

  • Plan, coordinate, and execute scholarship and donor-focused events, including stewardship and recognition programs.
  • Serve as the primary event lead for assigned events, managing timelines, logistics, and on-site execution.
  • Develop event plans, budgets, and timelines in coordination with the Director of Events.
  • Oversee event logistics such as venues, catering, registration, materials, and guest management.
  • Partner with internal teams, leadership, and marketing partners to align events with strategic goals.
  • Utilize event management systems to support registration, communications, documentation, and reporting.
  • Serve as the Foundation point of contact for externally hosted events at the Jon Hagler Center.
  • Maintain strong relationships with donors, scholarship recipients, vendors, and campus partners while representing the Texas A&M Foundation with professionalism.

What We Require

  • Bachelor’s degree in recreation and tourism management, business, hospitality management, public relations, communications, or a related field, or comparable relevant experience.
  • 3+ years of experience coordinating events, donor engagement activities, or similar programs requiring a high level of customer service.
  • Ability to manage budgets, timelines, and multiple event details simultaneously.
  • Strong written, verbal, and interpersonal communication skills, including the ability to interact with tact, diplomacy, and discretion.
  • Demonstrated ability to work under pressure and meet deadlines while maintaining a positive, service-oriented approach.
  • Proficiency in Microsoft Office applications (Excel, Outlook, Word, PowerPoint, Teams).
  • Strong commitment to the mission and vision of the Texas A&M Foundation and the ability to serve as a compelling ambassador for the organization.

We’d Love to Find Someone With

  • Experience with Salesforce or other customer relationship management (CRM) systems.
  • Understanding of the fundraising and stewardship cycle and how events contribute to donor engagement.
  • Prior experience in higher education or an academic environment.
  • Creative skills in designing unique event experiences, themes, and décor solutions.
  • Experience coordinating large-scale or high-profile donor events.
