Job Description

Pure Ground Ingredients is seeking a highly organized and proactive Sales and Operation Planner to oversee order management and ensure smooth coordination between sales, purchasing, and production teams.

This role is responsible for managing customer orders from contract confirmation through production planning and final delivery, ensuring all commitments regarding  quality, timeline, and specifications  are met.

The Sales and Operation Planner acts as the  central coordination point  between clients, purchasing, and production to guarantee operational efficiency and excellent customer service.

Key Responsibilities

1. Order & Contract Management

  • Manage customer contracts and sales orders from confirmation to final delivery.
  • Ensure all order details (specifications, quantities, packaging, timelines) are clearly documented and communicated internally.
  • Maintain accurate order records in the company ERP or management systems.

2. Client Order Coordination

  • Serve as the primary operational contact point for clients regarding order execution.
  • Communicate order status, timelines, and updates to customers in a professional and timely manner.
  • Coordinate and close follow-up on the approval process for the open orders.
  • Address operational issues related to orders and coordinate solutions with internal teams.

3. Production Planning & Monitoring

  • Plan and monitor orders to ensure they are produced and delivered on time and according to agreed requirements.
  • Track production progress and proactively resolve potential delays or bottlenecks.

4. Purchasing & Raw Material Coordination

  • Coordinate with the  purchasing team to ensure raw materials are available for production orders.
  • Monitor material availability and anticipate procurement needs based on production schedules.
  • Support purchasing in prioritizing materials required for urgent or scheduled orders.

5. Production Coordination

  • Work closely with the production team to support continuous operational improvements.

· Ensure production work orders are closed on time and accurately.

· Responsible for coordinating and controlling WIP inventory accuracy

6. Fulfillment management

  • Ensure orders are approved to ship in accordance with customer requirements.
  • Ensure all required documentation is completed for order fulfillment.
  • Coordinate with logistics teams to confirm delivery schedules.

7. Operational Reporting

  • Maintain internal reports on order status, production progress, and delivery timelines.
  • Provide regular updates to management regarding operational performance and potential risks.

8. Additional Responsibilities

  • Support process improvement initiatives to enhance operational efficiency.
  • Participate in cross-department coordination meetings.
  • Perform other tasks assigned by management as needed.

Requirements

Education

  • Bachelor’s degree in Business Administration, Supply Chain Management, Operations Management, or related field.

Experience

  • 3–5 years experience in  operations, supply chain, order management, or manufacturing coordination .
  • Experience in  food ingredients, spices, herbs, botanicals, or food processing industry is preferred.

Skills

  • Strong organizational and multitasking abilities.
  • Excellent communication and coordination skills.
  • Ability to manage multiple orders and priorities simultaneously.
  • Problem-solving mindset with strong attention to detail.
  • Experience working with ERP systems is a plus.
